Integrations for online stores and business systems

System integration means data passes automatically between your online store, accounting software, payment and shipping providers, suppliers and CRM, so orders, invoices and stock levels don't have to be re-keyed by hand. Saitai.lt integrates WooCommerce, VirtueMart and custom online stores with the systems commonly used in Lithuania, and with other software too. Prices start at €150, with timelines from 2 working days.

Who it’s for

  • Your accountant enters every online store order into the accounting software by hand.
  • Stock levels in your online store don't match the warehouse, so you sometimes sell items you no longer have.
  • Your supplier sends prices and stock levels as an XML or CSV file, and you update them by hand.
  • You create shipping labels on the courier's website and send tracking numbers to customers yourself.
  • Customers want to pay by bank link (straight from their online bank) or by card, but your store only accepts bank transfers.
  • Enquiries and orders need to reach your CRM rather than sit in an email inbox.

When it’s not the right fit

  • You get a few orders a month. Then moving data by hand costs less than an integration and its upkeep.
  • There's an official provider plugin for your platform, and the default settings are enough for you. You can install it yourself by following the provider's instructions.
  • The system has neither an API nor a data import and export option. Then automatic integration isn't possible – you first need a solution from the vendor.

Included

What you get

Data flow diagram

Before any coding, we set out which data travels, in which direction and how often: orders, invoices, products, stock levels, payment and shipping statuses.

Ready-made module or custom solution

If a reliable, maintained module exists for your systems, we install and configure it. If not, we build the integration using APIs, following your rules.

Field mapping

We align product codes, VAT rates, units of measure, payment and delivery methods, and the details of private and business customers.

Error log and notifications

Every transfer is logged. If an order fails to transfer or stock levels fail to update, the person responsible gets an email, and the transfer can be repeated.

Testing with real data

We test the integration in a test environment or the provider's test mode, using your real orders and products, until you approve the result.

For your online store platform

We work with WooCommerce, VirtueMart and custom Laravel online stores. Other systems we connect via their APIs.

Guide and a 12-month warranty

We describe how the integration works and what to do when an error notification arrives. For 12 months, we fix integration bugs free of charge.

Price

How much does an online store integration cost?

Price from

€150

Integrating an online store with a payment or shipping provider costs from €150, and with accounting software from €490 when a ready-made module exists. For custom API integrations, supplier product imports or connecting several systems, we set the price once we have checked the systems' APIs and data volumes.

Prices include all taxes – no VAT is added (we are not VAT-registered). The final price depends on the project: we put it and the timeline in the contract before work starts.

Get an exact price

What the price depends on

  • Whether a ready-made module exists for the system, or the integration has to be built using its API.
  • How many data types are transferred and in which direction: one-way or two-way sync.
  • How many products and variants there are, and how often they need updating.
  • Whether existing data needs tidying up and mapping: product codes, categories, VAT rates.
  • Whether the system's vendor offers clear API documentation and a test environment.
  • How many online stores, warehouses, languages or currencies need connecting.

Additional costs

  • A fee for the accounting software's API or module licence, if the software vendor charges one – paid directly to the vendor.
  • Payment and shipping provider fees – under your contract with the provider.
  • Integration maintenance after the warranty (updates when a provider changes its API) – under a maintenance agreement, agreed separately.

Timeline

How long does an integration take?

A payment or shipping provider integration takes 2–7 working days, and an accounting software integration with a ready-made module 1–2 weeks from receiving the deposit and access. A custom API integration or a supplier product import takes 2–6 weeks, depending on the systems and data volumes.

Process

How it works

  1. Free consultation1–2 working days

We discuss which systems need connecting, which data needs transferring and what is currently done by hand.

  2. Systems check and fixed price1–3 working days

We check the API documentation, existing modules and test environment options. The price and timeline go into the contract, and we start once we receive the 50% deposit.

  3. Data mapping1–3 working days

Together with you or your accountant, we agree product codes, VAT rates, and payment and delivery methods.

  4. Development or configuration2 working days – 4 weeks

We install the module or build the integration, and set up the sync schedule and error notifications.

  5. Testing1–5 working days

In test mode, we run through the whole journey: payment, shipping label, invoice in the accounting software, stock level update.

  6. Launch and monitoring1–5 working days

We switch the integration on and check the log daily for the first few days to make sure all data is transferred correctly.

  7. Warranty and maintenance12 months

For 12 months, we fix bugs free of charge. With a maintenance plan, we monitor the integration and update it when providers change their APIs.

Examples

Typical projects

Online store and accounting software

Situation
For example, the accountant of a WooCommerce online store exports orders every evening and enters them into the accounting software, while the sales manager corrects stock levels in the store by hand.
Solution
Paid orders are transferred to the accounting software automatically as sales documents, and stock levels from the accounting software are updated in the online store on a schedule.
Result
Orders in the accounting software without re-keying, matching stock levels and the accountant's hours freed up for other work.

Product import from several suppliers

Situation
For example, an electronics online store sells products from several suppliers. Prices and stock levels come in different XML and CSV files, and updating them takes several hours every week.
Solution
A scheduled import downloads the supplier files, standardises categories, applies your mark-up and updates prices and stock levels. New products are created as drafts, so you can review the description before publishing.
Result
Up-to-date prices and stock levels, fewer cases of selling items the supplier no longer has, and control over new products before they go live.

Payments and shipping for a new store

Situation
For example, a new cosmetics online store only accepts bank transfers, and a member of staff creates shipping labels on the courier's website and sends tracking numbers to customers separately.
Solution
Montonio or Paysera payments with automatic order status updates, parcel locker choice at checkout, shipping labels from the online store's admin area and a tracking number in the customer email.
Result
More ways for customers to pay, orders without manual payment checks, and labels in a few clicks.
