Business process automation

Business process automation means handing repetitive work – such as logging enquiries, issuing invoices, moving data between systems or preparing reports – over to software, so that your staff no longer have to do it by hand. Saitai.lt automates processes using integrations, CRM systems and artificial intelligence (AI). We give you a price and timeline after a free process assessment.

Who it’s for

  • The same data is entered several times: into your online store, CRM, accounting software and Excel.
  • Invoices and reminders about payments or contract end dates are sent by hand, and sometimes forgotten.
  • Enquiries from your website, email and phone are logged in different places, so some of them go unanswered.
  • Every week, the director waits for a report that someone pulls together from several programs.
  • As orders grow, so does the admin work, even though the work itself stays the same.
  • You already have systems, but they aren't connected, so an employee links them by copying data across.

When it’s not the right fit

  • The process happens a few times a month – building and maintaining the automation would cost more than the time saved is worth.
  • The process hasn't settled yet and changes every few weeks. It's worth writing it down and trying it out by hand first.
  • Your systems have no API and no import or export option – in that case, automation is only possible by switching systems.
  • Every case needs a human decision or negotiation. Only the data-gathering part is automated, and a person makes the decision.

Included

What you get

A process map before any coding

We write down who does what, when and in which programs, how long it takes and where mistakes are most common. It often turns out that some steps can simply be dropped.

Choosing the best approach

If your team already uses n8n, Make or Zapier, we integrate with them; otherwise, we automate processes in code and use AI to handle free text. We suggest the cheapest option that's reliable.

A single source of data

We agree which system is the master for customers, products or prices, so that the same data isn't changed in several places.

Error notifications

If data fails to transfer, the person responsible is notified, and the task doesn't get lost.

Human approval where it's needed

Payments, prices and quotes for customers can wait for an employee's approval, while routine steps happen automatically.

Solution documentation

We hand over a short description of what happens automatically and when, so that a new employee understands where the data comes from.

Launch and a 12-month warranty

We test the solution with real data and show your staff what has changed. For 12 months, we fix programming bugs free of charge.

Price

How much does business process automation cost?

Price

On request

The price depends on the process: how many systems need connecting, whether they have an API and whether AI is needed. That's why we give you a price after a free assessment and put it in the contract. As a guide: integrating your online store with accounting software costs from €490, AI integration into a single process from €990, and moving Excel spreadsheets into a CRM from €990.

Prices include all taxes – no VAT is added (we are not VAT-registered). We put the price and the timeline in the contract before work starts.

Get a quote

What the price depends on

  • How many steps and exceptions the process has.
  • How many systems are involved, and whether they have an API or an import option.
  • Whether a workflow platform is enough or custom development is needed.
  • Whether AI is needed to handle free text or documents.
  • How much data is processed each day, and how quickly it has to be transferred.
  • Whether a missing system, such as a CRM to store the data, needs to be built first.

Additional costs

  • We choose where to host the solution based on its size: a VPS we provide (sized to your needs) or your own server; the price depends on this too. Support on our VPS from €29/month covers hosting and uptime monitoring.
  • If your team uses n8n, Make or Zapier, subscriptions to these platforms and any paid API fees are paid directly to the providers.
  • AI model usage – charged by the actual volume of requests, within a monthly limit agreed with you.
  • New workflows after launch – under a separate quote, agreed in writing.

Timeline

How long does it take to automate a process?

A simple workflow between two popular services takes a few working days, accounting software integration 1–4 weeks, and AI integration 2–4 weeks. When a CRM has to be built first, the whole project takes 4–8 weeks, but it can be launched in stages.

Process

How it works

  1. Free process assessment1–2 working days

In a 30–60-minute call, we discuss what is done by hand, in which programs and how often. We tell you what's worth automating first, and what isn't.

  2. Process specification and fixed price2–5 working days

We describe the current and the new process, the systems, the approval points and what isn't included in the first stage. The price and timeline go into the contract, and we start once we receive the 50% deposit.

  3. Development3 working days – 6 weeks

We build the integrations, workflows or AI features. You try out an interim version with a copy of your data.

  4. Testing with real cases2–5 working days

We test both typical and unusual cases: missing data, duplicates, system errors.

  5. Launch1 working day

We switch on the automation on the agreed day and show your staff what now happens automatically and where to see error notifications.

  6. Warranty and next stages12 months

For 12 months, we fix programming bugs free of charge. We recommend automating the next process once the first one is running smoothly.

Examples

Typical projects

Subscription invoices and payment reminders

Situation
For example, an IT support company issues subscription invoices to its customers every month, and the accountant sends reminders to those who haven't paid after checking the bank statement.
Solution
Invoices are issued automatically from the list of contracts, payments are matched by importing the bank statement, and late payers are sent a reminder. Exceptions, such as an agreed payment extension, are marked by hand.
Result
Invoices issued on time, reminders without manual checks and a clear list of outstanding debts.

An online store order's journey

Situation
For example, at a cosmetics online store, an employee transfers every order into the accounting software, creates a shipment on the courier's website and separately sends the customer the tracking number.
Solution
Integration with the accounting software and the courier service: a paid order goes into the accounting software, the shipping label is created in the online store admin, and the tracking number is sent to the customer automatically.
Result
Less manual work on every order and fewer mistakes from retyping data.

Production order status updates for customers

Situation
For example, a print shop's customers phone to ask when their orders will be printed, and the account manager has to ask the production manager each time.
Solution
The order status is updated in the CRM, and whenever it changes, the customer is sent an email automatically. If needed, an AI chatbot can also be added to the website to tell customers the status from their order number.
Result
Fewer calls about order status, customers who are kept informed and one place to see every order.
