Inventory management software built around your process

Inventory management software is a web-based system for recording goods in, write-offs and transfers of products and materials, with stock levels visible straight away on computers and phones. Saitai.lt builds inventory software around your process: with barcode scanning, stocktaking and a connection to your online store or accounting software. We set the price after a free assessment of the job.

Who it’s for

  • You track stock in an Excel spreadsheet, and only find out the exact quantity by going to the warehouse and counting.
  • Customers order items in your online store that are no longer in stock, because stock levels are updated by hand.
  • You keep products or materials in several warehouses, shops, vehicles or sites, and want to see what is where.
  • Stocktaking takes several days, and the results have to be typed up from paper sheets.
  • You need to know who was issued materials or tools and when, and how much was used on a particular site or order.
  • Off-the-shelf inventory software doesn't fit the way you work: you have your own product groups, units of measure, kits or documents.

When it’s not the right fit

  • You need bookkeeping: VAT invoice registers, i.SAF (the Lithuanian VAT invoice register) or the general ledger. That stays in your accounting software, and the inventory software exchanges data with it.
  • Your accounting software already has an inventory module that fits your process. Then it's worth trying that first – settings and training may be all you need.
  • You have few products and only a few stock movements a week. Then a well-organised Excel spreadsheet is enough, and when several people start filling it in, it can be moved into an online system (from €990).
  • You only need management reports from your accounting data – sales, debts or profitability. That's what accounting and reporting software is for (from €1,200).
  • You run a large logistics centre with automated equipment. Warehouses like that need a specialised warehouse management system (WMS).

What can inventory management software do?

Goods in and write-offs

Products and materials are booked in against the supplier's invoice or delivery note, and written off when sold, used on a site or damaged. Every movement has a document, a date and a responsible person.

Real-time stock levels

Stock levels are shown by warehouse, shelf location, vehicle or site. Set a minimum quantity, and the software reminds you when it's time to reorder.

Barcode scanning

Items can be scanned with a barcode or QR code scanner or a phone camera, and labels can be printed for items without codes. That means fewer errors when picking and stocktaking.

Inventory records and stocktaking

Staff scan items with their phones, and the software compares the actual quantity with the recorded one and shows any shortfall or surplus. Tools and equipment can be tracked by the employee responsible for them.

Transfers between warehouses

Products are transferred between warehouses, shops or sites with a transfer document, so it's clear where an item is now and who took it.

Batches and expiry dates

If needed – batch, serial number or expiry date tracking, so that items received earlier are issued first.

Link to your online store

Stock levels are synced with WooCommerce, VirtueMart or a custom online store, and ordered items are reserved so they aren't sold twice.

Data for your accounting software

Goods-in and write-off data is passed to your accounting software via API or as an export file in the format it accepts.

Reports, roles and a 12-month warranty

Stock value, movement history, turnover and slow-moving stock, with export to Excel and PDF. Everyone sees only the data meant for them. We hand over a guide, and the source code handover terms are written into the contract. For 12 months, we fix bugs free of charge.

Price

How much does inventory management software cost?

Price

On request

We price inventory management software individually, after assessing the number of warehouses and products and the modules and integrations you need. The assessment is free: describe how goods in, write-offs and stocktaking currently work, and within 1 working day we'll tell you how much the system would cost and how long it would take to build.

Prices include all taxes – no VAT is added (we are not VAT-registered). We put the price and timeline in the contract before work starts.

Get a quote

What the price depends on

  • How many warehouses, locations and product groups need tracking, and whether products have different units of measure or come in kits.
  • Which documents you need: goods-in notes, write-offs, transfers, stocktaking reports, delivery notes.
  • Whether you need barcode or QR code scanning, label printing and work on phones in the warehouse.
  • Whether you need batch, serial number or expiry date tracking.
  • Whether stock levels need syncing with your online store, and how data will reach your accounting software – via API or files.
  • How much data needs migrating from your current spreadsheets or old software.

Additional costs

  • A system like this needs its own hosting, so it doesn't run in a shared website hosting environment but on a virtual private server (VPS) in the EU. The VPS (hosting and maintenance: SSL certificate, updates, daily backups) costs from €29/month; the final price depends on the server's capacity and the size of the system. If your company has its own server, we can install the system there.
  • Barcode scanners and label printers are bought separately; a phone camera is often enough.
  • A fee for the accounting software's or online store's API module, if the vendor charges one – paid directly to the vendor.
  • New modules after launch – under a separate quote; small jobs at €30/hour.

Timeline

How long does it take to build inventory software?

We set the timeline once the specification is ready and write it into the contract: it depends on the number of modules and integrations. We launch larger systems in stages – first goods in, write-offs and stock levels, then stocktaking, barcodes and the connection to your online store or accounting software – so your warehouse staff can start using the software as early as possible.

StageWhat's includedWhen it's used
Foundationproduct catalogue, goods in, write-offs, stock levels, rolesthe first version to go live

Process

How it works

  1. Free consultation1–2 working days

You show us how goods in, write-offs and stocktaking work now, and which spreadsheets or software you use. Samples without personal data are enough.

  2. Specification and fixed price

We define the documents, product record fields, roles and integrations. The price and timeline go into the contract, and we start once we receive the 50% deposit.

  3. Database and opening stock

We design the database, standardise product codes and units of measure, and load the product catalogue from your spreadsheets.

  4. Development and trial

We build the modules and integrations. You try out an interim version in a test environment with your own products and documents.

  5. Stocktake and launch

We recommend a stocktake on launch day, so the system starts from the actual quantities. We show your warehouse staff how to use the software and hand over a guide.

  6. Warranty and further development12 months

For 12 months, we fix bugs free of charge. New modules or integrations can be added later.

Examples

Typical scenarios for inventory software

Online store and a physical shop

Situation
For example, a company sells through an online store and a physical shop, and updates stock levels by hand once a day, so it sometimes sells an item that's no longer there.
Solution
Inventory software with a product catalogue and barcodes: a sale in any channel reduces the stock level immediately, and ordered items are reserved.
Result
Shared stock levels across all sales channels and fewer orders that have to be cancelled.

Materials for installation sites

Situation
For example, an installation company keeps materials in a warehouse and in its vans, and only finds out how much was used on a site after checking the invoices.
Solution
Software where the technician writes off materials against a specific site from their phone, and the storekeeper sees stock levels in the warehouse and in each van.
Result
Material costs by site and clear responsibility for every item issued.

Raw materials and finished goods

Situation
For example, a small manufacturer tracks raw material stock and finished goods in separate spreadsheets, and stocktaking takes several days.
Solution
Software with goods in for raw materials, write-offs to production based on each product's bill of materials, booking in finished goods, and stocktaking by phone.
Result
Raw material and finished goods stock levels at any time, and faster stocktaking.

Describe your warehouse – we'll assess it for free

Tell us how many warehouses and products you have, how you track stock now, and which online store or accounting software the system needs to exchange data with. Within 1 working day, we'll tell you what we'd suggest, how much it would cost and how long it would take.

FAQ

Frequently asked questions about inventory management software

No. Bookkeeping, VAT and i.SAF stay in your accounting software. Inventory software is for day-to-day work with stock – goods in, write-offs, transfers and stocktaking – and its data is passed to your accounting software via API or an export file, in a format agreed with your accountant.
