Custom CRM development in Lithuania
A CRM system (customer relationship management system) is a web application that keeps your customers, orders, tasks and their full history in one place, while each employee sees only the data they are allowed to see. Saitai.lt builds custom CRM systems around your processes: from moving your Excel spreadsheets online (from €990) to a business CRM with tasks and reports (from €1,900). Timeline: 2–8 weeks.

Who it’s for
- Information about customers and orders is scattered across emails, Excel files and employees' notes.
- When a sales manager leaves, their customer history leaves with them: who agreed what, and when.
- Enquiries from your website get lost in the inbox, and you only hear about a forgotten call from an unhappy customer.
- Your process is non-standard – sites, contracts, service jobs, rentals or production orders – and the fields in an off-the-shelf CRM don't cover it.
- Employees need to see different data: sales managers see their own customers, the accountant sees invoices and the director sees everything.
- Every month, the director and the accountant put reports together by hand.
- You pay for an off-the-shelf CRM licence for every user, even though you don't use most of its features.
When it’s not the right fit
- Your sales process is standard, and a monthly per-user fee suits you. Then an off-the-shelf CRM, such as Pipedrive or HubSpot, will get you started faster.
- You work alone or as a pair and don't have many customers. A well-organised spreadsheet with protected fields is usually enough.
- You need bookkeeping: VAT registers, i.SAF (the Lithuanian VAT invoice register), payroll. That's what accounting software is for – and a CRM can be connected to it.
- You can't set aside time to discuss your process yet. Designing the system takes at least a few hours of your time or that of a responsible employee.

Quoted after assessment
Illustration with sample data: enquiries move through your process stages in the CRM, each with a task and a responsible employee.
Included
What you get
A customer record with the full history
Contacts, enquiries, quotes, orders, files and comments – all in one record. A new employee can see within minutes what has already been agreed with a customer.
Your process stages and statuses
Orders, deals, sites or service jobs move through your own stages, for example "enquiry – quote – contract – completed". Lists can be filtered by status, employee and period.
Tasks and reminders
Every task gets a responsible employee and a deadline. The system reminds you about scheduled calls, contracts coming to an end or periodic checks.
Roles, permissions and change history
Sales managers see their own customers, the accountant sees invoices and payments, the director sees everything. Each record shows who changed it and when.
Quotes as PDFs
The system produces a sales quote from your template using the data in the customer record – no copying into Word. Contract or handover certificate templates can be added later.
Reports for the director
Sales, quote-to-order conversion, staff workload or debts – in one click, with export to Excel and PDF.
Data migration
We move your customers and their history from Excel, Google Sheets, CSV files or an old system's export: we make formats consistent, remove duplicates and check the record counts.
Training, source code and a 12-month warranty
We show users in each role how to work with the system and hand over a user guide. When the project is finished, we hand over the system's source code, and we fix bugs free of charge for 12 months.
Price
How much does CRM development cost?
Price from
€990
A custom CRM system costs from €990: that's the price of moving 1–2 Excel spreadsheets into a web-based system for up to 5 users. Accounting and reporting software for the director and accountant costs from €1,200, and a business CRM with enquiries, quotes, tasks and reminders from €1,900.
Prices include all taxes – no VAT is added (we are not VAT-registered). The final price depends on the project: we put it and the timeline in the contract before work starts.
What the price depends on
- How many modules you need: customers, orders, quotes, tasks, inventory, documents.
- How many roles you need and how detailed the permissions are, for example seeing only your own customers or read-only access.
- How much data needs migrating, from how many sources, and how much tidying it needs.
- How many reports and document templates you need in the first version.
- Whether you need integrations with your website, email, online store, accounting or other software.
- Whether you need artificial intelligence (AI) features, such as sorting enquiries or summarising emails.
Additional costs
- A system like this needs its own hosting, so it doesn't run in a shared website hosting environment but on a virtual private server (VPS) in the EU. The VPS (hosting and maintenance: SSL certificate, updates, daily backups) costs from €29/month; the final price depends on the server's capacity and the size of the system. If your company has its own server, we can install the system there.
- There is no licence fee per user – as your team grows, you don't need to buy new licences.
- Development after launch (new modules, integrations) – under a separate quote, with the price and timeline agreed in writing.
Timeline
How long does CRM development take?
A system based on 1–2 spreadsheets takes 2–4 weeks, accounting and reporting software 3–6 weeks, and a business CRM with tasks, reminders and integrations 4–8 weeks. A larger system can be launched in stages: first the customer and order modules, then reports and integrations.
| Solution | What's included | Price | Timeline |
|---|---|---|---|
| Excel → CRM | 1–2 of your spreadsheets, up to 5 users, roles, search, filters, reports | from €990 | 2–4 weeks |

Examples
Typical scenarios
Enquiries and quotes at a service company
- Situation
- For example, a cleaning or renovation company receives enquiries through its website form, by email and by phone. Sales managers note them down in different places, and some customers never receive a quote.
- Solution
- A CRM where website enquiries arrive automatically and are assigned to a sales manager. Phone enquiries are entered through a short form, quotes are produced from a PDF template, and the system sends a reminder to call if a customer hasn't replied.
- Result
- All enquiries in one place, quote statuses by sales manager and fewer forgotten customers.
Equipment rental bookings and contracts
- Situation
- For example, a construction equipment rental company marks bookings on a wall calendar and in an Excel spreadsheet, and fills in contracts from a Word template.
- Solution
- A system with an equipment list, an availability calendar and customer records. The rental contract and handover certificate are produced as PDFs, and the responsible employee gets a reminder on the return date.
- Result
- A clear view of equipment availability, documents without manual form-filling and a rental history for every item.
Document tracking at an accounting firm
- Situation
- For example, a company providing accounting services has several dozen clients. Every month it needs to know who has already sent their documents and who needs a reminder – at the moment, this is tracked in a shared spreadsheet.
- Solution
- Software with a client list and monthly tasks: received documents are ticked off, late clients are sent a reminder, and the director can see each accountant's workload.
- Result
- The month's status in one overview, fewer manual reminders and a clear division of work.

FAQ
Frequently asked questions
An off-the-shelf CRM is designed for a typical sales process and charged monthly for every user. A custom CRM is built around your own stages, fields and permissions, and the monthly cost doesn't depend on the number of users. If your process is typical and you have only a few users, an off-the-shelf CRM will often be the faster and cheaper choice – and we'll tell you so during the consultation.
