Product import and sync (XML, CSV, API)
Product import means automatically bringing supplier products, prices, stock levels and photos from XML or CSV files and supplier APIs into your online store, following your rules and schedule. Saitai.lt builds product import and sync for WooCommerce, VirtueMart and custom online stores. We set the price after assessing your suppliers' data; the timeline is 2–6 weeks.

Who it’s for
- Every week, you spend several hours transferring supplier price lists into your online store.
- You sell products from several suppliers, and their files differ in structure, categories and attributes.
- You sell products the supplier no longer has, because stock levels in your store aren't updated often enough.
- Your range runs to thousands of products, so you can no longer keep up with creating new ones by hand.
- You calculate prices using mark-up rules that vary by supplier or category.
- You work on a dropshipping model, with the supplier shipping straight to customers, so your online store has to show the supplier's exact stock level.
When it’s not the right fit
- The supplier only provides data as a PDF price list or by email, with no structured data file. Then automatic import isn't reliable – it's worth asking the supplier for an XML, CSV or Excel file first.
- You have a few dozen products, and prices change once a year. Then it's simpler to update them by hand or with a one-off import.
- The supplier's terms prohibit using their photos and descriptions. Then we import only prices and stock levels, and you will have to prepare the content yourself.

What you get
Supplier data analysis
We examine each supplier's file or API: which fields it contains, how often it's updated and whether products have unique codes (EAN, supplier code).
Category and attribute mapping
We map supplier categories and attributes – for example, colour, size or power – to your online store's structure, so that filters work the same way for every product.
Mark-up and pricing rules
Mark-up by supplier, category or price range, rounding and a minimum price – the final price in your online store is calculated automatically.
Stock levels and discontinued products
Stock levels are updated on a schedule, and products the supplier no longer has are hidden or marked as awaiting stock – whichever you prefer.
New products as drafts
New products are created as drafts with photos and a description, so you can review or add to them before publishing.
Several suppliers for the same product
If several suppliers offer the same product, a rule picks whose price and stock level to show – for example, the cheapest of those that have it in stock.
Import log and notifications
You can see how many products were created, updated and hidden. If a supplier's file is unavailable or corrupted, you get a notification, and your existing data stays unchanged.
Guide and a 12-month warranty
We show you how to change mark-up rules and map a new category. For 12 months, we fix import bugs free of charge.
Price
How much does supplier product import cost?
Price
On request
We price product import individually, after assessing your suppliers' files or APIs, the number of products and how complex the rules are. The assessment is free: send us a sample supplier file or API documentation, and within 1 working day we'll tell you how much the import would cost and how long it would take.
Prices include all taxes – no VAT is added (we are not VAT-registered). We put the price and timeline in the contract before work starts.
What the price depends on
- How many suppliers, and how many different file formats or APIs, need processing.
- How many products and variants are imported, and how often they need updating.
- Whether the supplier data is tidy: unique codes, consistent attributes, working photo links.
- How complex the mark-up, category and product selection rules are.
- Whether descriptions and photos need importing too, or only prices and stock levels.
- Whether several suppliers offer the same product and one offer needs to be chosen.
Additional costs
- If a supplier charges for access to its API or data file, that fee is paid directly to the supplier.
- A large catalogue may need a more powerful hosting plan, as frequent imports put a load on the server – we assess this before signing the contract.
- New suppliers and rule changes after launch – under a separate quote, confirmed in writing.
Timeline
How long does it take to set up product import?
An import from one supplier with a tidy XML or CSV file takes 2–3 weeks; from several suppliers with different structures, product variants and complex rules, 4–6 weeks. The timeline runs from receiving the deposit and access to your suppliers' data.
| Scope | Example | Timeline |
|---|---|---|
| One supplier | one XML or CSV file: prices, stock levels, new products | 2–3 weeks |
| 2–3 suppliers | different file structures, category mapping, mark-up rules | 3–4 weeks |
| Many suppliers or APIs | product variants, several suppliers for the same product, thousands of products | 4–6 weeks |

Examples
Typical projects
Bike parts store with three suppliers
- Situation
- For example, a bike parts online store buys from three suppliers: one provides data as an XML file, another as CSV, and the third via an API. The suppliers call the same part by different names and sell it at different prices.
- Solution
- Products are matched by EAN code, and the store shows a single offer – the price of the cheapest supplier with the item in stock, plus your mark-up.
- Result
- One product page instead of three, a competitive price and stock levels that match the suppliers' real quantities.
Dropshipping store with a large catalogue
- Situation
- For example, a home and garden store works with a supplier that ships products straight to customers. The supplier's catalogue has tens of thousands of products, and stock levels change several times a day.
- Solution
- Only changed stock levels and prices are updated every hour, and the full catalogue every night. Only products from selected categories are imported, and new products are created as drafts.
- Result
- Up-to-date stock levels without unnecessary server load, and a curated range instead of the supplier's entire catalogue.
Plumbing wholesaler's price list
- Situation
- For example, a plumbing supplies wholesaler receives a new price list from the manufacturer every month as an Excel file, and the sales manager spends two days changing prices in the store.
- Solution
- The price list just needs uploading in the admin area: the system compares it with existing products, shows the prices that have changed, and publishes the new prices with mark-up only once you approve them.
- Result
- Prices updated in minutes, with a chance to review the changes before they go live.
Send us a supplier file – we'll assess it for free
Attach a sample supplier XML or CSV file or a link to the API documentation, plus your online store's address. Within 1 working day, we'll tell you whether the import is feasible, how much it would cost and how long it would take.
FAQ
Frequently asked questions
As often as the supplier and your server allow: stock levels are usually updated every hour or several times a day, and the full catalogue every night. If the supplier has an API, some data can be updated even more often. We update only the products that have changed, so the import doesn't overload your store.
